Grid Escapes is the trading name of [full legal name], registered in [jurisdiction] under [registration number], with its business address at [address]. Contact us at [booking email] or [business phone]. These terms cover our travel planning services and explain how bookings arranged through us are handled.
The person instructing us must be at least 18 and authorised to act for the travellers included. Before you commit, we provide the service scope, price and relevant terms in a form you can keep. An enquiry or introductory call does not create a travel booking.
Planning services: your agreement for our research, itinerary design and agreed support is with Grid Escapes. Your written planning proposal identifies the work included and any services excluded.
Travel services: the provider, booking agent and any package organiser will be identified before you pay. For individual supplier bookings, the travel service contract is generally with the named supplier. Where a tour operator supplies a package, that operator and its responsibilities will be identified.
For bookings facilitated through Fora, the applicable Fora booking terms explain its role. For UK travellers, Fora distinguishes third-party services, for which it acts as agent, from Fora Packages, for which it has organiser obligations. Grid Escapes’ separate planning agreement does not replace those arrangements.
If the law treats an arrangement as a package or linked travel arrangement, the relevant statutory duties apply regardless of the description used. We will identify any organiser and applicable protections before commitment. These terms do not remove obligations that the law places on Grid Escapes, Fora or a supplier.
These terms govern our planning service. The specific supplier’s booking conditions govern its travel service. For bookings made through Fora, the Fora terms presented for that booking also apply. We provide the relevant documents or links before you authorise payment, including cancellation deadlines and charges. Mandatory consumer rights take priority over any inconsistent wording.
UK Fora bookings: https://www.foratravel.com/legal/uk-terms-of-use. Other Fora bookings: [insert the actual client booking terms supplied by Fora for the relevant market and booking route]. Fora’s general website Terms of Use are not a substitute for booking-specific conditions.
Your first 20-minute call is free. Before chargeable work begins, we agree your planning fee, currency, applicable taxes, payment schedule, included revisions and support in writing. The fee pays for the planning work and is separate from travel costs unless expressly stated otherwise.
Work starts after you accept the proposal and satisfy its stated payment requirements. Changes to your brief, additional destinations or work beyond the agreed scope may require an additional fee, which we will quote and obtain your agreement to before proceeding.
[Proposed fee policy: confirm before publication.] If you cancel before chargeable work starts, we refund the planning fee. Once work begins, we charge fairly for work completed under the agreed scope and refund any unused balance. If the agreed service has been fully delivered, the fee remains payable even if you decide not to book travel. This does not affect remedies for defective or undelivered services.
Where a statutory cancellation period applies to the planning service, we will explain it before the agreement starts. If you ask us to begin during that period, we will obtain any required express request and acknowledgements. We will not treat payment alone as a waiver of cancellation rights. Any deduction for early work must comply with the applicable law.
Your proposal or payment request names the payee and explains whether payment is collected by Grid Escapes, Fora, a supplier or a payment provider acting for one of them. It also states the merchant expected on your statement, currency, deposit, balance deadline, taxes and known additional charges. A payment processor is not necessarily your travel service provider.
Planning fee payments are collected by [confirmed entity and payment route]. Travel payments are collected by [confirmed standard route, including exceptions]. If we are authorised to collect funds for another party, we identify that party and the capacity in which we receive the money. We do not represent funds as held in trust or financially protected unless this is expressly confirmed.
Prices and availability can change before confirmation. An itinerary, quote, payment authorisation or planning fee receipt is not itself a confirmed travel reservation. The applicable booking terms determine when the contract forms, and we will send the supplier or Fora confirmation. Check traveller names, dates and services immediately and tell us about any errors.
Unpaid balances may lead to cancellation under the applicable terms. Currency conversion and bank charges may affect the amount charged or returned; known charges will be disclosed before authorisation. Optional extras require your agreement.
Send change or cancellation requests to [booking email]. For urgent requests, also call [number]. We will acknowledge receipt and forward the request to the relevant party. If you have not received acknowledgement, contact us promptly. The applicable booking terms determine when the request takes effect; our process does not override statutory notice rights.
Amendments depend on availability and may involve fare differences or supplier charges. Non-refundable rates, missed departures, no-shows and unused services may attract charges up to the full price. The specific rules and deadlines, including the applicable time zone, will be provided before you book.
Any additional Grid Escapes administration fee must be disclosed and agreed in advance. We do not impose an undisclosed cancellation charge. Planning fee refunds are assessed separately under section 5.
Refund entitlement, the responsible party and deadlines depend on the applicable booking terms and mandatory law. We will help submit and follow up eligible requests. Refunds are generally processed through the original payment route. Supplier processing delays do not remove any statutory refund obligation owed by the responsible party, including us where applicable.
Suppliers may change or cancel services. We will pass on information we receive and help you understand the alternatives, refunds or other remedies available. These depend on the booking and applicable law. Disruption caused by weather, strikes, government restrictions or other events does not automatically remove your statutory rights.
Hotel benefits, upgrades, early check-in, late check-out and special requests are subject to the specific booking conditions and availability unless expressly guaranteed in writing.
Provide accurate traveller details and check all documents promptly. Unless our agreed scope expressly includes a particular service, you are responsible for obtaining valid passports, visas, entry permissions, transit documents and any required health documentation. We can assist with information, but authorities make entry and visa decisions.
Tell us about mobility, accessibility or other essential requirements before booking so we can ask suppliers about suitability. A request is not confirmed until the relevant provider accepts it. Share sensitive information only through the method we specify.
We strongly recommend suitable travel insurance from the time you make a financial commitment, covering your destinations, activities, cancellation risks and relevant medical circumstances. Any insurance requirements imposed by a supplier will be disclosed. Insurance does not replace rights you have against a supplier or organiser.
Your proposal states the support included before and during travel and our contact hours: [days, hours and time zone]. A Full Journey service includes the coordination described in your proposal. Round-the-clock assistance is included only if expressly agreed. Your final travel documents identify relevant supplier or emergency contacts.
Report problems promptly to the on-site supplier and contact us at [booking email or urgent phone] so there is an opportunity to resolve them. We will acknowledge a written complaint within [confirmed service target] and explain the next steps. This process does not restrict statutory complaint or court rights.
We will perform the services we agree to provide with reasonable care and skill. Suppliers remain responsible for the services they contract to deliver, subject to any additional responsibility imposed on an organiser or other party by law. We remain responsible for our own obligations and do not exclude liability simply because another business is involved.
Nothing in these terms excludes liability for fraud, death or personal injury caused by negligence, or any responsibility that cannot lawfully be excluded or limited. Applicable package travel and consumer protections remain in force.
Our planning agreement is governed by [confirmed governing law], subject to any mandatory protections available to you. Nothing here deprives you of a right to bring proceedings in a court available under applicable consumer law. Fora and supplier contracts may have their own valid governing-law provisions.
The version accepted when you agree to our service applies to that agreement. Later website updates do not retrospectively change an existing booking unless a change is lawfully agreed. Our Privacy Policy explains how we handle your information.
Share your ideas and we'll design a journey around you.
